Description:
The City of St. Petersburg is seeking a vendor to preserve historical engineering records stored on microfiche, aperture cards, and microfilm into searchable PDF files. The project involves digitizing approximately 65,000 microfiche slides, 20,000 aperture cards, and 200 reels of microfilm. The vendor will be required to provide all labor, materials, tools, equipment, software, transportation, and other resources necessary to perform the services described in the scope of work. The vendor must have a minimum of three years of experience providing document digitization or records conversion services involving microfiche, microfilm, or similar archival media. • The vendor shall develop a workflow for organizing, tracking, and preparing records for digitization. • The vendor shall review and organize records prior to scanning. • The vendor shall group records by document type, project, or other relevant indexing method as directed by the City. • The vendor shall track quantities and maintain a log of records processed. • The vendor shall digitize records and convert them into high-quality PDF files. • The vendor shall ensure scans accurately represent the original documents and are legible. • The vendor shall organize digital files using a City-approved naming convention and directory structure. • The vendor shall maintain or reference original document identifiers where available. • The vendor shall verify all scanned images are captured, properly oriented, complete, and readable. • The vendor shall re-scan documents that do not meet quality standards. • The vendor shall deliver organized PDF files to the Engineering Department. • The vendor shall provide a single point of contact, a dedicated account manager who will be readily available during normal business hours to administer the agreement.
