Texas A&M University–San Antonio is requesting information on vendor ability and interest in providing a Customer Relationship Management (CRM) system that supports both undergraduate and graduate recruitment and enrollment functions. The CRM must offer robust functionality in data management, communication workflows, reporting, and program-level customization. Some key features required include: • Track lead sources and attribute conversions • Deduplication module with fuzzy matching algorithms • Territory management with custom parameters • Automated admissions counselor assignments • Segments based on profile data, form/app status, event attendance, and behaviors • Workflows triggered by events or segments with delays and multistep automation • Rules for immediate one-off actions triggered by events or data changes • Integration with Banner (system of record) for correct counts, statuses, and application types • Application open and close date automation • Submission prevention rules to stop incorrect applications • Easy integration with Banner and responsive vendor support • A test environment for application testing • Event management with custom event pages, RSVP limits, and post-event surveys • Native scheduling system integrated with workflows and appointment-based triggers • Decision workflows with assignment queues, reviewer roles, comments, and trigger-driven communication • Multi-channel campaigns with email and SMS drag-and-drop builder, dynamic content, and advanced personalization • Reporting and insights with dashboards, traffic, engagement, funnel trends, and predictive modeling • Native API/SIS connectors and full custom field management • Unlimited users with granular permissions per module, workflow, territories, applications, and data • SOC 2 security controls, managed hosting, API security, and data governance • Ability to easily create scheduled exports and imports • Ability to track student visits to the university's website and create custom data fields and data sources
