The Chappaqua Central School District is seeking a vendor to supply, rent, and maintain a broad inventory of musical instruments, sound, video, and lighting equipment, as well as provide ongoing servicing, operation, and repair support for its schools. The contract will run for one year with possible CPI‑adjusted extensions, and the vendor must complete a mandatory site‑visit before bid submission. The scope covers both equipment provision (including accessories) and professional services (technician staffing, set‑up, and maintenance). • Provide new or as‑needed musical instruments, parts, and accessories (e.g., band, orchestra, and keyboard instruments). • Supply, rent, and operate sound, video, and lighting systems for school auditoriums, performing arts centers, and outdoor fields, including daily rental rates and two‑year service contracts. • Deliver hourly labor rates for instrument repair, AV equipment servicing, and on‑site technician staffing (4 days/week, 8 hours/day). • Submit mandatory documentation: proof of site visitation, subcontractor list, insurance certificates, hold‑harmless agreement, and non‑collusion certification. • Contract may be extended up to two additional one‑year periods for the service component, price limited to CPI adjustments.
