Conference Planning for Statewide Affordable Housing Conference

The Washington State Housing Finance Commission is seeking a single qualified firm to provide end‑to‑end conference planning services for the annual Housing Washington affordable‑housing conference, including the 2027 event scheduled for early October. The contractor will be responsible for conceptual development, budgeting, sponsor and exhibitor management, speaker recruitment, marketing, registration, on‑site logistics, venue procurement, accessibility compliance, and post‑event evaluation. The work will be performed on a time‑and‑material basis, with a contract term from November 1 2026 through December 31 2028 (approximately two years), and may be extended. • Develop and manage the full conference project plan, timelines, and deliverables. • Handle all financial aspects, including budget creation, monitoring, and reporting. • Secure sponsors, exhibitors, speakers, and manage all related logistics (travel, AV, accommodations). • Execute marketing, branding, registration platforms, and ensure WCAG 2.1 AA accessibility. • Provide on‑site event operations, venue coordination, virtual session support, and comprehensive post‑event reporting.
