Description

The City of Seattle is soliciting bids for on-site and off-site secure document destruction services. The contract will be for five years, with one two-year extension allowed at the option of the City. The City expects to achieve dependable, timely, and expert services that comply with the National Association for Information Destruction (NAID) guidelines. The City will obtain competitive pricing for document destruction services and assure rapid delivery of services to specified City locations. Key services include on-site and off-site document destruction, bulk pick-up, unscheduled pick-up, and digital storage media destruction. Vendors must meet minimum qualifications, including being NAID AAA Certified and Certified in Mobile Operations, having been in business for at least 2 years, and having successfully performed at least two contracts with similar services. • On-site document destruction pricing will be on a per-bin pickup basis, by bin size, with bins provided free of charge. • The destruction price for off-site and bulk will be on a flat rate “per box” basis. • Vendors must furnish all materials, equipment, and services necessary to perform contractual requirements. • Vendors must comply with NAID standards and provide a Certificate of Destruction after each service. • Vendors must maintain adequate inventory and provide no more than seven business days’ response time and delivery for most new orders. • Vendors must provide a delivery service for routine orders with no charge for delivery, unless specified in the Bid.

Budget estimate

$900,000 – $1,000,000

Based on the provided information, the annual usage on the current contract has been around $180,000 to $200,000. Considering the City's expectations for competitive pricing and the scope of work, the estimated budget for this contract could be in the range of $900,000 to $1,000,000 over the five-year contract period, assuming a steady annual usage. However, this is a rough estimate and the actual budget could vary depending on the services required and the pricing proposed by the vendor.
