The Department of Graduate Medical Education at Oklahoma State University‑CHS seeks a vendor to design, develop, and implement a secure, cloud‑hosted resident data‑management system that consolidates all resident‑related information currently stored in spreadsheets and ancillary systems. The system must support 80‑100 users, provide comprehensive dashboards, recruitment and match tracking, accreditation reporting, and integrate with existing “New Innovations” tools. The vendor must also meet extensive security, FERPA, and AI‑specific compliance requirements, deliver training, documentation, and optional post‑implementation support. • Mandatory functional modules: resident data management, program performance dashboards, recruitment & match analytics, accreditation & review workflows, reporting & analytics. • Technical requirements: cloud‑hosted (U.S.‑based), SSO (SAML 2.0/OAuth 2.0), role‑based access, encryption at rest and in transit, audit logging, AI‑model transparency, and full data‑ownership/export rights. • Security & compliance: FERPA‑compliant, multi‑factor authentication, vulnerability management, penetration testing, detailed incident‑response plan, and a comprehensive vendor security questionnaire.
