AFDW PACOM FY26 FORUM

The United States Air Force is seeking a commercial contractor to provide full‑service event support for the FY26 AFDW PACOM Forum, a three‑day conference (September 21‑23, 2026) in Honolulu. The contractor will manage project coordination, venue set‑up and tear‑down, audiovisual/IT infrastructure, registration, badge printing, on‑site desk operations, catering (meeting minimum food‑and‑beverage requirements), security liaison, and post‑event reporting and bill reconciliation. The award will be a firm‑fixed‑price purchase order to the most technically acceptable and cost‑effective offeror. • Scope includes managing a large event space for 69 personnel, a boardroom, and multiple breakout rooms with working‑lunch configurations. • Provide AV/IT systems, registration kiosks, badge issuance, and on‑site support staff. • Coordinate catering services to meet minimum spend thresholds and avoid surcharges. • Liaise with security personnel and ensure compliance with JTR 0302 and AFI 16‑107. • Deliver post‑event reports, financial reconciliation, and final invoicing. • Submission deadline: 6:00 PM HST, 11 September 2026; award will be based on technical acceptability and best‑value price.
