Description

The City of Pasadena is seeking a coordinator for the ArtNight Docent program, which involves outreach, training, scheduling, and coordination of docents for two ArtNight events in October 2026 and March 2027. The coordinator must have evening availability for docent training sessions and be onsite before, during, and after each event. The scope of work includes developing volunteer and docent outreach and recruitment material, revising and preparing training documents, organizing and conducting training sessions, and supervising and coordinating volunteers and docents during the events. The coordinator will also be responsible for providing a report for each event. The city is looking for a proposer with at least 5 years of experience in providing similar services, and the evaluation criteria will include experience, cost proposal, and local Pasadena business. • The ArtNight Docent Coordinator will work under the supervision of the ArtNight Coordinator and Cultural Affairs Division Manager. • The coordinator must have experience with governmental agencies and similar scope and size projects. • The city reserves the right to reject all bids and waive any irregularity in any of the bids. • The coordinator will be required to provide a cost proposal that includes all costs associated with the technical proposal. • The city will evaluate the proposals based on a competitive selection process, and the selection panel will grade and score responsive proposals.

Budget estimate

$5,000 – $15,000

Based on the scope of work and the requirement for at least 100 hours of work, the estimated budget for this opportunity could be around $5,000 to $15,000, depending on the hourly rate of the coordinator. The city's budget for this project is not explicitly stated, but the cost proposal should include all costs associated with the technical proposal, including the coordinator's time, materials, and travel expenses. The evaluation criteria will also consider the cost proposal, so the proposer should ensure that their price is competitive and reasonable.
