Event Production, Audio, Visual, Lighting and Staging Services

Texas A&M International University is seeking a qualified vendor to deliver full‑service, turn‑key event production for its Fall and Spring Commencement ceremonies and other university events over a five‑year contract term. The contractor must provide audio‑visual, lighting, staging, video‑recording, livestreaming, and related technical services, including equipment, personnel, setup, rehearsals, operation, strike, and post‑production deliverables. The scope also allows for ad‑hoc event production services on an as‑needed basis. • Primary recurring work: audio‑visual, lighting, staging, and recording for two large‑scale commencement ceremonies each year (December & May) at an off‑campus arena in Laredo, TX. • Minimum equipment requirements: one 16’ × 32’ LED wall, two 8’ × 16’ LED walls, multiple 4K cameras, professional audio mixing gear, wireless microphones, stage lighting, rigging, and special‑effects (e.g., confetti). • Additional services: livestreaming, video editing, final mastered digital recordings, and on‑site technical support. • Optional work: production for presidential events, conferences, performances, athletic events, donor gatherings, and other university‑sponsored activities. • Contract term: 5 years with possible extensions up to a total of 10 years; no guaranteed minimum volume. • Estimated total contract value: approximately $1.05 million (as listed in the solicitation). • Mandatory VetHUB subcontracting plan submission; all questions due 9/16/2026; proposals due 9/30/2026 by 1:00 PM CT.
