Description

The City of Tuscaloosa seeks a qualified firm to manage the full entertainment lifecycle for the Mercedes‑Benz Amphitheater, covering an annual season from March through November. The contractor will be responsible for creating an event calendar with at least 20 national touring concerts, acquiring talent, negotiating contracts, marketing each event, handling pre‑production and day‑of‑show logistics, and providing detailed financial settlement for each performance. The City retains responsibility for security, ticketing, custodial services, and other venue operations, while the vendor must coordinate closely with the Amphitheater’s operations manager. • Manage a minimum of 20 concerts per season (≥ 2,500 attendees per show) and co‑promote at least 10 shows annually. • Provide full‑service talent acquisition, contract negotiation, marketing/advertising, and on‑site production support (sound, lighting, rider compliance). • Deliver detailed per‑event accounting, financial settlements, and compliance with IRS Rev. Proc. 2017‑13 (tax‑exempt financing).

Budget estimate

$2,000,000 – $5,000,000

No specific budget is disclosed, but managing 20+ large‑scale concerts plus festivals for a venue that seats up to 8,400 people suggests a multi‑million‑dollar contract. Assuming an average gross revenue of $150,000–$250,000 per concert (ticket sales, sponsorships) and a typical vendor fee of 10‑15% of gross, the expected budget could range from roughly $2 million to $5 million for the full season. Factors influencing the range include the number of sold‑out shows, revenue‑share arrangements, and additional festival or private event services.
