Proposoal for NHS FY 2026 Annual Conference

The Navajo Nation Head Start is seeking a vendor to deliver a complete conference services package for its FY 2026 Annual Conference. The contract will cover venue space (six breakout rooms, a 280‑person ballroom, an extra executive room, storage, and a bus‑training area), full AV/IT support (Zoom, projectors, microphones, on‑site technicians), lodging for 280 attendees (four nights), and comprehensive catering (breakfast, lunch, dinner, and mid‑day snacks) that must stay within 2026 government per‑diem rates. The vendor must also provide registration tables, internet connectivity, and comply with Navajo Nation procurement rules, including certification, insurance, and tax requirements. • Provide 280 hotel rooms for Aug 3‑6 2026 and all meeting spaces for Aug 3‑7 2026. • Supply AV/IT equipment, Zoom capability, and on‑site technical staff for the entire event. • Deliver catering for 280 participants each day (breakfast, lunch, dinner, and 3 pm snack) meeting federal per‑diem limits. • Include a bus‑driving training area, registration setup, and required documentation (certifications, W‑9, insurance).
