Event Planning and Management Services

The State of Missouri is seeking a vendor to provide event planning and management services for the Department of Elementary and Secondary Education. The vendor will be responsible for planning, organizing, and implementing events and conferences, including meeting with state agency representatives, marketing the event, registration services, coordination of event site, food and beverages, event evaluation, presenter/speaker logistics, graphic design work, printing services, audio visual equipment, and providing a secure storage area for promotional items. The vendor must have at least 10 years of experience in event planning and management and be located within 50 driving miles of Jefferson City, MO. The contract period is from June 1, 2026, to May 31, 2027. Key responsibilities include: • Planning and organizing events and conferences • Coordinating event site, food and beverages, and audio visual equipment • Providing registration services and event evaluation • Managing presenter/speaker logistics and graphic design work • Ensuring compliance with state regulations and laws The vendor will be required to submit a work plan and pricing requirements, and the state agency will have the right to terminate any event at any time without penalty or recourse.
