Description

The University of Maine System seeks a five‑year master agreement (with one optional five‑year renewal) for cloud‑based athletics‑technology platforms, associated implementation/on‑boarding services, and required hardware. The solution must be commercially available at the time of submission, support a full suite of athletic operations (performance analytics, recruiting, compliance, fan engagement, athlete development), and be deployable across all UMS campuses, the Maine Community College System, and Maine Maritime Academy. Pricing must be firm for the entire contract term, and the award will favor in‑state bidders and the lowest‑priced, most comprehensive proposals. • Provide modular, cloud‑delivered athletics management software (SaaS) covering operations, performance, recruiting, compliance, digital engagement, and athlete development. • Deliver full implementation services: system configuration, data migration, integration with existing campus systems, training, hosting, and ongoing professional support. • Supply any required on‑site equipment/hardware (servers, networking, displays) needed to support the cloud solutions. • Must be a fully commercial product (no beta/roadmap‑only features) and meet HECVAT/VPAT compliance assessments. • Respondents must be the manufacturer or an authorized distributor for each product offered and must submit the signed Master Agreement, pricing tables, certifications, and references by the March 2, 2026 deadline.

Budget estimate

$500,000 – $5,000,000

Although the RFP does not disclose a total contract value, the requirement for a five‑year master agreement covering enterprise‑level athletics software, implementation services, and hardware across multiple campuses suggests a multi‑million‑dollar spend. Comparable university athletics‑technology contracts range from $0.5 million for modest implementations to $5 million or more for comprehensive, system‑wide solutions. Therefore, a reasonable estimate for the award is between $500,000 and $5,000,000 over the contract term, depending on the breadth of products selected, discount levels, and optional renewal.
