The City of Worcester seeks a qualified printer to supply and deliver election ballots and related ballot‑kit components for the City Clerk’s elections over a two‑year period (July 1 2025 – June 30 2027), with a possible third‑year renewal. The work includes printing DS200‑compatible ballots, assembling kits with envelopes, instructions, and bilingual voter‑rights inserts, and meeting strict delivery schedules for both preliminary and November municipal elections. The contract will be awarded to the lowest responsive and responsible bidder. • Required products: 59,900 Election‑Day ballots, 10,400 early/absentee ballots, 4,100 instruction sheets, 710 ballot kits, 355 specimen ballots (all DS200‑compatible, black‑ink, 14‑in. length). • Packaging: 100 ballots per package for Election‑Day ballots; 75 ballots per package for EV/AV ballots (as clarified in Addendum #1). • Critical dates: Bid submission by April 2, 2025 10:00 AM; proof approvals July 15 2025 & September 19 2025; delivery deadlines July 31 2025, August 15 2025, October 1 2025, October 17 2025. • Mandatory requirements: Demonstrated experience with DS200‑compatible ballots, three references, required insurance and bond coverage, compliance with Massachusetts election regulations.
