SPECIAL EVENTS CONSULTING SERVICES - 2026: Phase 2

The City of York is seeking proposals from qualified firms and/or contractors to provide special event services for Light Up York and New Year’s Eve Celebration. The selected firm will be responsible for fundraising, organizing, and presenting the events. The events include a multicultural celebration, live entertainment, children's activities, and fireworks. The firm will be required to provide a service proposal, cost proposal, and a sample contract. The City of York encourages participation by small business enterprises as prime contractors and encourages all prime contractors to make a significant commitment to use small business enterprises as subcontractors and suppliers. • The firm will be responsible for planning, preparing, fundraising, and producing the designated special events for the City. • The firm will analyze the City's current and proposed special events and present specific concepts for improving the quality of public and private participation in special events. • The firm will create, prepare, and submit individual special event proposals, including new concepts, logistics, and budget, to the City for acceptance. • The firm will coordinate special event logistics, including marketing and public relations, vendor recruitment and logistics, volunteer recruitment and facilitation, entertainment recruitment and logistics, and special event committees. • The firm will provide all graphic art work for sponsorship programs, event ads, event flyers, mailers, and other work as necessary.
