(RFP) Multi-Functional Devices

The Chicago Housing Authority is seeking a qualified vendor to provide new, Energy‑Star‑certified multifunction devices (MFDs) for its headquarters and satellite locations, together with full‑service fleet management, installation, maintenance, consumables, and reporting. The contract will be a firm‑fixed‑price, three‑year base term with up to two optional one‑year extensions. Vendors must meet extensive security, data‑sanitization, and service‑level requirements and must achieve CHA’s minority‑business participation goals. • Supply and install a mixed fleet of production‑grade, tower, and desk MFDs (≈ 50 devices total) across multiple Chicago sites. • Provide all‑inclusive service: preventative maintenance, remote diagnostics, on‑site support (Mon‑Fri 8 AM‑5 PM), consumable replenishment, and loaner/replacement devices. • Deliver a fleet‑management platform with secure AD‑based print release, usage tracking, monthly cost reports, and quarterly optimization recommendations. • Meet CHA’s M/W/DBE participation (20 % of contract value) and Section 3 labor‑hour goals (25 % of labor hours, 5 % resident hires). • Submit a detailed fee proposal (lease rates, per‑click pricing, consumables) and comply with insurance and financial‑statement requirements.
