RFQ - Multifunction Copier, Printer, and Scanner services

The Port of Newport is seeking proposals for two multifunction copier/print/scan devices and a comprehensive five‑year managed‑service support package. Vendors may submit purchase, lease, or lease‑to‑own options, and proposals will be evaluated primarily on total cost of ownership over a five‑year period. The award will be made in late November 2026, with contract execution expected in early 2027. The scope includes equipment delivery, installation, configuration, ongoing maintenance, consumables management, remote monitoring, and guaranteed service response times. • Provide two high‑spec multifunction devices (color printing, duplex, secure print, cloud‑printing, OCR, etc.) for two separate Port locations. • Include a five‑year total cost of ownership proposal covering acquisition, maintenance, consumables, parts, and end‑of‑term disposition. • Meet strict service level standards: ≤ 4‑hour response, next‑business‑day onsite service, ≥ 98 % uptime, and local Oregon technician availability. • Demonstrate compliance with Oregon procurement statutes, ENERGY STAR equipment preferences, and security requirements (encryption, secure print release).
