Answers to Questions from Vendors:
Who is the current or most recent incumbent contractor, and what were the original contract amount, final amount spent, and awarded unit prices? Previous award and renewal information is available on the NYS Contract Reporter. A FOIL will need to be submitted for the amount spent.
What is the Village’s approved or estimated budget for the base contract and extension years? We do not provide that information. Work to be issued on an as-needed basis.
Other than the 45 annual bus-shelter services, do the estimated quantities in the Bid Proposal represent annual quantities or the total anticipated quantities for the entire base period? If available, can the Village provide historical quantities and expenditures by bid item? Work to be issued on an as-needed basis.
Can the Village provide the anticipated locations, square footage, and service frequency for the sidewalks, pavers, dumpster enclosures, and garbage pails? Work to be issued on an as-needed basis.
Please also provide the approximate dimensions of the standard bus shelter. Approximately 16’ by 16’
What are the anticipated minimum and maximum quantities per work order, and will multiple locations normally be combined into a single mobilization? Work to be issued on an as-needed basis.
What hydrant permit, meter, backflow-prevention, water-usage, or other water-related fees must the contractor include? Permit fees will be waived. Will approved hydrants be reasonably available near the anticipated work locations? That depends on how close a hydrant is to a work order area, I cannot definitively answer that question.
Is the contractor required to capture, recover, transport, or dispose of wastewater, or may wash water enter the existing drainage system? No.
Are gum, oil, grease, organic growth, food stains, and similar difficult substances included in the base unit prices? Yes. For dumpster enclosures, does the measured square footage include the floors, interior and exterior walls, and gates? Yes.
What notice and completion time will apply to each work order, and approximately what percentage of the work is expected during evenings, nights, weekends, or holidays? Work to be issued on an as-needed basis. 48-hour notice ahead of start of work is need. Completion time will vary depending on quantity of work.
How does the 120-workday completion requirement apply to this multi-year, on-call contract, and what contract value should bidders use to calculate the required performance, payment, and maintenance bond costs? The section that includes the 120 day requirement is crossed out so it does not apply. There are no performance, payment or maintenance bonds included in the bid.
