Printing and Mailing of Notices for the Assessor

The purpose of this Request for Proposal (RFP) is to obtain proposals and professional services for the printing, mailing, and electronic delivery of statutorily required notices and other mailings for the Coconino County Assessor’s Office. The selected vendor will provide services including mass printing and mailing, variable data printing, address verification, high-volume mail production, electronic delivery, and design and content management. The vendor must also ensure data security and comply with all applicable federal, state, and local health, environmental, and safety laws, regulations, standards, and ordinances. Key aspects of the job include: • Providing mass printing and mailing services for annual and supplemental notices • Handling variable data printing, address verification, and high-volume mail production • Offering electronic delivery and text notification options • Updating mailing templates or forms as needed in coordination with the County • Ensuring all designs comply with statutory requirements and County branding standards • Providing proof samples for County review and approval prior to each mailing • Maintaining confidentiality and security of mailing lists and recipient data
