OCYF SWAN Conference Planning

The Pennsylvania Department of Human Services is seeking a contractor to provide conference and event coordination services for the Office of Children, Youth and Families' Statewide Adoption and Permanency Network program. The contractor will be responsible for managing conferencing services, including providing equipment, supplies, and project management tools. The contract term is one year with four optional one-year renewals. The contractor must provide planned breaks, including snacks and beverages, and may electronically distribute materials for the quarterly meetings. The selected contractor will also be required to provide printed, physical copies of materials for participants of the winter and summer statewide meetings, as well as the annual permanency conference. • The contractor must provide equipment, including LCD projectors, adapters, speakers, and child and teen care supplies. • The contractor must provide project management tools and templates, including reusable templates that can be transferred as part of the project turnover. • The contractor must provide meals and snacks for the quarterly meetings and conferences, as specified in the Statement of Work. • The contractor must complete the entire cost submittal, including the initial one-year term and the four optional years.
