Request for Registrar Services

The Hawaiʻi State Foundation on Culture and the Arts (HSFCA) is seeking a qualified vendor to provide registrar and collections‑management support for its statewide Art in Public Places (APP) Collection. The contractor will work directly with the HSFCA Registrar to maintain, update, and improve collection documentation, accession records, inventory, policy, and related reporting for a one‑year period (Oct 16 2026 – Oct 15 2027). The scope includes policy review, registration services, data cleanup, audit assistance, and occasional photography or loan documentation. A single lump‑sum price is required, with monthly invoicing. • Provide professional museum registrar services for the APP collection • Review and revise the Collections Management Policy to align with AAM/ARCS standards • Maintain and update both paper and digital collection records, accession files, condition reports, and location data • Support accessioning, cataloging, metadata improvement, inventory reconciliation, and loan documentation • Deliver periodic reports, policy drafts, and final revised policy documents • Contract length: 12 months, statewide work, monthly invoicing, compliance with Hawaii state vendor requirements.
