Youth Sports Photography Services

The Bend Park and Recreation District is seeking proposals from qualified photography firms to provide youth sports photography services under a parent-pay service model. The selected contractor will be responsible for providing all labor, equipment, materials, staffing, and services necessary to perform youth sports photography services, including photographing all District-assigned youth sports teams, coordinating and scheduling picture days, providing online ordering and payment systems, and managing all financial transactions with participants. The contract is expected to be effective from August 1st, 2026, through July 31, 2028, with the option to renew for three additional one-year terms. • The proposal should include a detailed description of the proposer's experience and qualifications, work plan and picture-day operations, pricing and package value, ordering and fulfillment process, sample work and image quality, and revenue share model. • The proposal should also include a completed Proposer Information Sheet, which includes information about the proposer's firm, primary contact, and certifications. • The District reserves the right to reject any proposal that does not meet the minimum requirements or to cancel the RFP at any time. • The evaluation committee will score proposals based on the completeness and quality of information, with points assigned for experience and qualifications, work plan and picture-day operations, pricing and package value, ordering and fulfillment, sample work and image quality, and revenue share model. • The District may conduct interviews with proposers and may request additional clarification or information from proposers during the evaluation process.
