Description

The Red Clay Consolidated School District, via its Central Bidding Department, is seeking a vendor to remove existing Cisco Meraki Mist AP43 units and install up to 720 new HPE Juniper AP45 (or equivalent) access points across 11 K‑12 schools. The district will purchase, receive, and prep the hardware; the vendor’s responsibility is labor‑only installation, including removal of old units, mounting of new units (primarily recessed ceiling‑grid clips), re‑installing protective covers, and returning or securing decommissioned equipment. Work must be performed when schools are empty (typically teacher‑in‑service days) between roughly 7 AM–7 PM, using a ≤10‑ft stepladder; no lifts or additional power supplies are required because all APs are PoE. The bid must be a single bundled price (installation labor only) and must be guaranteed through June 30 2027. eRate Category II funding is a condition precedent; vendors must provide SPIN # and FCC registration. No bid deposit or performance bond is required, but $1 M general & professional liability insurance is mandatory. The contract period is effective upon award until June 30 2027, with a possible one‑year extension. • Scope: removal of existing APs, installation of new PoE‑powered APs, re‑install protective covers, secure/return old units. • Quantity: up to 720 APs across 11 schools (35–106 per school). • Labor only – hardware supplied by district. • Pricing: single unit price (labor) guaranteed through 6/30/2027. • Submission deadline: 2:00 PM EST, Jan 27 2026 (electronic). • Evaluation: cost (40 %), experience (15 %), authorized reseller status (25 %), warranty‑repair procedure (20 %). • Insurance: $1 M liability required; no bond. • Early termination: 30‑day notice, no penalty. • eRate funding contingent – must supply SPIN # & FCC #.

Budget estimate

$40,000 – $120,000

The district will supply all hardware, so the vendor is paid only for labor. Assuming an average labor cost of $80–$150 per access point (including travel, preparation, and removal of old units), the total cost for up to 720 APs would range from roughly $57,600 to $108,000. Small‑scale bidders targeting fewer APs (e.g., 400 units) would see lower totals, while a full‑scale bid at the higher labor rate could exceed $100k. Thus, a realistic budget range is $40k–$120k, depending on unit count and labor rate negotiated.
