CONF: 2027 & 2027 Survey Technical Workshop

The State of Minnesota is seeking a contractor to provide a conference facility for the 2027 and 2028 Survey Technical Workshop. The conference is expected to have approximately 350 attendees and will be held on one of the following dates: March 9-11, 2027, March 16-18, 2027, or March 23-25, 2027, and March 14-16, 2028, March 21-23, 2028, or March 28-30, 2028. The conference facility must be located within 65 miles of 7694 Industrial Park Road, Baxter, MN 56425-8096. The contractor will be responsible for providing a clean, well-maintained facility with adequate space for the conference. The contract term is anticipated to be from September 1, 2026, to June 30, 2028, with the option to extend up to an additional 12 months. • The conference facility must be located in the State of Minnesota. • The State does not guarantee a minimum number of attendees, lodging rooms, or meals. • The contract prices shall not be adjusted if the number of attendees falls below the estimate. • The contractor must provide a written response and supply all requested content, including Attachment A: Responder Declarations, Attachment B: Exceptions to State's Standard Terms and Conditions, Attachment D: Workforce and Equal Pay Declaration Page, and Attachment E: Additional Information. • The contractor must submit all requested documentation, including samples of transaction documents proposed for use under the resulting contract. • The State reserves the right to reject any and all responses received, waive or modify any informalities, irregularities, or inconsistencies in the responses received, and negotiate with the highest scoring responder.
