UMDAR Commencement Webcast and Jumbo Trons

University of Massachusetts Dartmouth is seeking a qualified vendor to provide a turnkey live‑production, webcast, and LED Jumbo‑Tron solution for its annual commencement ceremonies at Cressy Field. The contractor will supply, install, operate, and later remove two 16.5 ft × 10 ft trailer‑mounted LED screens, as well as full video‑production crew, equipment, and streaming services, delivering broadcast‑quality video, closed‑captioning, and post‑event recordings. The contract is a fixed‑price, lump‑sum award with a three‑year base term and two optional one‑year extensions, subject to price‑adjustment limits tied to CPI/PPI. All work must conform to university safety, insurance, privacy, and indemnity requirements, and proposals must be submitted electronically via the Jaggaer BuyWays portal. • Provide two 16.5 × 10 ft LED Jumbo‑Tron screens (rental, delivery, installation, operation, removal). • Deliver end‑to‑end live‑production and webcast services, including multi‑camera setup, switching, graphics, closed‑captioning, and post‑event digital files. • Submit a single “Total Firm Fixed Price” lump‑sum proposal (no separate line‑item pricing) with all required certifications, insurance, and reference documentation. • Contract term: 3‑year base period + up to 2 one‑year option extensions (maximum 5 years). • Must comply with UMass non‑negotiable contract terms, including indemnification of the university, PCI‑DSS compliance (if applicable), and Massachusetts law jurisdiction.
