The State Highway Administration is seeking a hotel in Maryland to provide accommodations, conference rooms, meals, and a large empty parking lot for a conference of approximately 130-155 people. The conference will include an interactive session where attendees will complete a driving obstacle course. The hotel should have a minimum of twelve chairs and free wi-fi in the lobby/lounge space, and the conference rooms should be column-free or set up in a manner that all attendees can view presentations without obstruction. The hotel should also have a minimum of thirty round tables with six chairs per table to accommodate all attendees, and a buffet meal room with napkins, silverware, salt, and pepper on each table. The contract will be awarded to the responsible bidder submitting a responsive bid with the most favorable bid price. • The conference will be held from October 7-10, 2025, with alternate dates of October 14-17, 2025, or October 28-31, 2025. • The hotel should have a minimum of 155 parking spaces with no overhead obstructions. • The conference rooms should have a microphone and speaker, a podium, projector screen, speakers, extension cord to AC outlet, wireless internet connection, and a projector with access to an HDMI and USB-C connection for a laptop. • The hotel should have a beverage station with coffee, tea, and water, and a trash can located within a few feet of the coffee and water station. • The contract will be for a firm fixed price, and the contractor will be required to provide a price form with their bid.
