Beverage Services - AJ Farm Venue - RFP

The City of Gladstone is issuing a Request for Proposals (RFP) for beverage services at the AJ Barn, a wedding and event venue. The successful bidder will provide all labor, equipment, materials, and insurance necessary for beverage services, including beer, wine, soft drinks, and cocktails. The contract will commence on July 1, 2026, and will terminate unless renewed by a written agreement between both parties. The RFP includes the following requirements: * The bidder must comply with all applicable local, state, and federal laws and regulations governing beverage services. * The bidder must maintain insurance requirements, including liability insurance, and name the City of Gladstone as an additional insured. * The bidder must provide a minimum number of beverage servers based on the number of guests. * The bidder must not serve liquor to individuals who appear intoxicated or under the age of 21. * The bidder must not offer cash bars, tip jars, shots, kegs, or champagne fountains. * Beverage service is limited to 4 hours. The RFP includes three beverage options: * Option 1: Includes 4 domestic beers, 4 wines, soft drinks, bottled water, and 1 signature cocktail. * Option 2: Includes all of Option 1, plus mixers and well liquor. * Option 3: Includes all of Option 2, plus premium liquor. The bidder must provide per-guest costs for each option, as well as additional offerings such as import beer, additional signature cocktails, and champagne toasts. The City of Gladstone reserves the right to reject any and all bids, waive informalities, and negotiate contract terms with the successful bidder. The successful bidder will be required to execute a Beverage Services Agreement with the City of Gladstone. A walk-through of the venue is available by appointment, and bids must be submitted by May 1, 2026, at 12pm. The bid package must include a completed proposal form, and the envelope must be sealed and marked with "Beverage Services Proposal" on the cover.
