Description
The City of Aurora is seeking a vendor to provide tent rental, delivery, setup, and takedown services for the 2025 City Hall-o-ween Trick or Treating Event. The event will be held on October 31, 2025, from 2:00pm to 4:00pm at Wilder Park Promenade. The vendor must provide 20 tents with a minimum size of 10' x 10' or 10 tents measuring 10' x 20', along with weights to secure each tent. The vendor is expected to deliver the tents on October 30, 2025, and set them up by 5:00pm. The tents must be taken down and removed by November 1, 2025. Key considerations for this project include:
• Providing commercial-grade, weather-resistant tents that meet local ordinances and safety requirements
• Ensuring all materials used for the tents are flame retardant and compliant with NFPA 701
• Delivering and setting up the tents on time
• Providing a total cost for tent rental, delivery, setup, and takedown
• Complying with the City's insurance requirements and providing certificates of insurance
• Abiding by the City's terms and conditions, including the Illinois Freedom of Information Act and the Drug Free Workplace Act
