Conferences and Meeting Facilities

The Arizona Department of Education is seeking qualified vendors to provide conference and meeting facilities across the state. This RFP creates a Qualified Vendor List (QVL) that will be used for future as‑needed purchase orders for conference rooms, banquet halls, audiovisual support, catering, and related services. Vendors must submit a signed amendment, meet insurance and compliance certifications, and be able to support venues ranging from small rooms (<100 attendees) to large ballrooms (up to 1,000 attendees) throughout Arizona. The solicitation does not guarantee any volume of work; award will be based on responsiveness and suitability for the QVL. • Scope includes provision of meeting‑room space, AV equipment, internet, ADA‑compliant facilities, and optional catering or lodging services. • Vendors must maintain $2 M CGL insurance, comply with E‑Verify, anti‑boycott and forced‑labor certifications, and submit all required attachments via the Arizona Procurement Portal. • The deadline for submission (including a signed copy of the latest amendment) is May 27 2026, 1:00 PM.
