The State of New Jersey Department of Children and Families (DCF), in partnership with the New Jersey Task Force on Child Abuse & Neglect, seeks a professional conference‑planning firm to design, coordinate, and execute a one‑day statewide “Skill‑Building Conference” focused on child abuse and neglect. The vendor must handle venue selection, a call‑for‑papers process, registration (including online and same‑day), continuing‑education (CE/CLE) accreditation, keynote and speaker logistics, all conference materials, on‑site registration and AV support, and post‑conference reporting and certification. The contract is a fixed‑price award of approximately $40 k, with the conference to occur before September 15 2018 and all funds obligated by September 30 2018. The awardee must demonstrate experience delivering at least three conferences of 250+ participants in the past three years and provide extensive compliance documentation (DUNS, SAM, insurance, CPA certification, etc.).
• Manage venue procurement (300‑500 attendees, ADA‑compliant, free parking) and all on‑site logistics (meals, AV, signage).
• Conduct a competitive “call for papers,” review proposals, and secure DCF/NJTFCAN approval for presenters.
• Provide registration system, issue CE (social‑work) and CLE (legal) credits, and certify participants.
• Produce all conference collateral, staff the registration desk, troubleshoot AV, and deliver post‑event evaluation, thank‑you letters, and final reports.
• Demonstrate prior experience with three large conferences, maintain required state/federal compliance, and identify any leveraged cash or in‑kind contributions.
