On-Call Event Planning and Event Support Services

The City of Chula Vista is seeking one or more on‑call professional‑services agreements to provide event planning, production, and specialty support services for a variety of municipal events (festivals, parades, community celebrations, ribbon‑cuttings, etc.). Vendors may propose as a full‑service event planner, as a specialist in a single category (e.g., audiovisual, sponsorship, décor), or as a team of complementary firms. The contract will be a one‑year base period with up to four optional one‑year renewals, and individual task orders will be issued for each event. • Scope includes strategic planning, budgeting, permitting, logistics, vendor coordination, marketing/sponsorship, technical production (AV, lighting, staging), décor installation/teardown, and day‑of operations. • Proposals must include a fixed‑fee management rate (Category A) or hourly labor rates (Categories B‑D) and demonstrate relevant experience (≥5 years for full‑service, ≥2‑3 years for specialties). • The City will award contracts based on technical competence, geographic availability, pricing, and ability to meet on‑call requirements; contracts are subject to standard City insurance, bonding, and compliance provisions.
