Description
The Department of State Hospitals (DSH) in Napa is seeking a qualified contractor to provide full‑service off‑site records storage, retention, and handling—including secure storage of protected health information, pickup, delivery, retrieval, and eventual disposal—on a 24/7 basis for a three‑year term with two optional one‑year extensions. The contractor must operate a facility within 50 mi of the DSH Napa site, meet stringent security, fire‑prevention, HIPAA, and disaster‑recovery requirements, and maintain an online inventory and tracking system.
• Secure, climate‑controlled storage of various record box sizes with 24‑hour surveillance and NFPA 232 compliance.
• Comprehensive handling services: registration, barcode inventory, pick‑up, delivery, retrieval (standard, rush, emergency), and final removal at contract close.
• Mandatory HIPAA/business‑associate obligations, background checks, insurance and bonding, and strict adherence to California economic‑sanctions rules.
