County Employee Appreciation Picnic Services

The County of San Bernardino is seeking a qualified vendor to plan, coordinate, and execute its annual Employee Appreciation Picnic at Glen Helen Regional Park (or an equivalent venue). The contractor will be responsible for full event management—including registration, parking, activity programming, food and non‑alcoholic beverage service, staffing, equipment provision, and on‑site logistics—and must have at least five years of experience delivering large‑scale public events. The contract may extend up to five years, with a competitive cost proposal required. • Provide comprehensive event planning and on‑site coordination for a large employee picnic (several thousand attendees). • Supply and operate games, activities, and entertainment, plus full food and beverage services. • Deliver all necessary personnel, equipment, and logistics, with flexibility to shift venues if required. • Submit a detailed cost breakdown (Attachment E) and meet extensive insurance, certification, and financial documentation requirements. • Optional pre‑bid site walk (Aug 13) and virtual proposal conference (Sept 21) are available for clarification.
