AV Services for Commencements, Convocations, and Other Events

The University of Wisconsin‑Stevens Point is seeking a qualified vendor to provide comprehensive audio‑visual (AV) services, equipment, and technical support for its major campus events, including spring and winter commencements (2026‑2027), convocation/“Pointers Week” activities (2026), and any future university events. The contract will cover equipment rental (projectors, screens, trussing, lighting, sound systems, microphones, etc.), rigging and installation, on‑site technical staffing for set‑up, rehearsals, live event operation, and teardown, as well as provision of scissor‑lifts, ADA‑compliant cable ramps, and power distribution. The award will be a multi‑year firm‑price contract (initial three‑year term with two optional one‑year renewals) and will require the vendor to meet Wisconsin state procurement, insurance, and work‑center requirements. • Provide all labor, equipment, and technical services for commencement, convocation, and future events (S1‑S3 line items). • Supply and install high‑lumens laser projectors, truss, lighting, sound reinforcement, microphones, and related AV gear; perform rigging, cabling, and power‑distribution tasks. • Deliver qualified AV technicians on‑site for setup (one week prior), ceremony day (three technicians), and teardown; include travel and mileage costs in the bid. • Comply with DOA‑3054 Standard Terms, Wisconsin minority‑business certifications, debarment certification, and maintain required insurance and record‑retention.
