Harmony Public Schools (HPS), a charter school network with 70+ campuses, is seeking a qualified vendor to design, produce, and deliver custom promotional materials for two initiatives: the Apply Harmony Festival and the Harmony Welcome Box. The contract covers all design, printing, packaging, and shipping of approximately 15,000 welcome boxes and assorted festival promotional items over an initial three‑year term (Dec 14 2026 – Dec 13 2029) with two optional one‑year extensions. Vendors must submit a single, all‑inclusive proposal; partial bids are not accepted. The scope includes: • Creative design and artwork approval for festival signage, flyers, and digital assets. • Production of branded welcome boxes (contents defined in Exhibit 3) and associated packaging. • Coordination of shipping to up to 90 locations, with three scheduled delivery batches (≈60 % first batch, 20 % each for second and third). • Compliance with HPS’s shipping, labeling, and return‑address requirements. • Provision of itemized pricing (shipping listed separately) and adherence to firm pricing for the first year. • Ability to meet delivery timelines and accommodate updates to address files. • Completion of required forms (IP NDA, Deviations, etc.) and submission through the HPS eBid system by 11 Sept 2026.
