The City of West Des Moines seeks a qualified AV integration firm to deliver a complete, turnkey replacement of the Council Chambers audio‑visual system. The scope includes design, supply, installation, programming, integration, testing, documentation, training, warranty, and ongoing technical support for a system that supports in‑person and hybrid meetings, Microsoft Teams, electronic voting, recording, livestreaming, media feeds, assistive listening, and future expansion. A mandatory pre‑proposal site visit is required, and proposals must be submitted electronically via the IonWave portal by 2 PM CST on 23 Sept 2026. • Design and engineering of a fully integrated AV solution (cameras, displays, audio, control interfaces, networking). • Supply of all hardware, software licenses, cabling, mounts, power and UPS equipment. • Removal and disposal of existing AV equipment. • Installation, programming, configuration, and testing of cameras, microphones, speakers, displays, control rooms, and Microsoft Teams integration. • Integration of Digital Congress electronic voting system. • Provision of operator, administrator, and technical training plus full documentation (as‑built drawings, programming files, credentials). • Warranty, preventive‑maintenance, emergency meeting support, and ongoing technical support. • Mandatory pre‑bid meeting/site visit on 3 Sept 2026; questions due 9 Sept 2026; award expected 12 Oct 2026; project start 8 Dec 2026; completion 17 Dec 2026.
