Event Decorating Services

The U.S. Embassy in Nassau, The Bahamas is seeking a vendor to provide event decorating services for their American Independence Day celebration. The event will be held on June 26, 2026, and will feature an "American Icons" theme. The vendor will be responsible for providing comprehensive decoration, furniture, and equipment rental services for the event, which will include a check-in area, lounge areas, entertainment spaces, food stations, eating areas, and display areas. The vendor must also provide climate control solutions, such as misting stations and portable fans, to ensure the comfort of the 1,200 guests. Some key requirements for the vendor include: • Providing a detailed floor plan showing all spaces, including lounges, entertainment areas, food stations, and display areas • Coordinating all deliveries and setup with the Embassy's point of contact, Bianca Strachan • Providing a certificate of insurance with a minimum liability of $2 million • Ensuring that all equipment is clean, in excellent working condition, and suitable for an outdoor venue • Providing an on-site supervisor during the entire setup period and throughout the event • Demonstrating experience with outdoor events for 1,000+ guests
