Rental Equipment Services for Commencement and Other Events

The College of New Jersey is seeking a vendor to provide comprehensive rental‑equipment services for its 2025 commencement ceremonies, both outdoor (Lions Stadium) and indoor (Recreation Center), plus ancillary event needs. The vendor must deliver, set up, and break down a large inventory of white tents, banquet tables, white resin‑padded chairs, staging platforms, ramps, black turf, duvetyne skirting, and related AV support structures. All services are to be performed under strict timing windows, with final setup completed by 1 p.m. on May 20 and breakdown completed by the evening of May 23 or the morning of May 25. The contract is initially one year with the option to renew for two additional one‑year periods (up to three years total). • Provide all listed equipment (e.g., 750 stadium chairs, 1,775 indoor chairs, 27 stadium tables, 11 indoor tables, multiple stages, ramps, tents) and allow a ±20 % quantity adjustment. • Include full FOB‑destination delivery, labor for setup/breakdown, required permits, and immediate replacement of any non‑conforming items. • Submit unit‑price pricing, photographs of equipment, digital layout drawings, three references, and comply with insurance, bonding, and NJ procurement forms.
