The City of Knoxville is seeking proposals from responsible firms to provide event equipment rental and services for various events coordinated by the City of Knoxville’s Department of Special Events. The City intends to establish a firm fixed price agreement with one or more suppliers who specialize in tent, table, and chair rentals. The agreement will be for a one-year base term with two optional one-year renewals. The contractor must provide equipment in clean, excellent condition and in good working order. The contractor must also provide all labor, materials, equipment, and supplies required for services in a safe and legal manner. Key considerations include pricing, approach, quality and age of products, and references.
• The City of Knoxville’s Department of Special Events plans, coordinates, and oversees approximately nine events per year that require the rental of special equipment.
• The contractor must guarantee a 90-minute response time for emergency equipment changes/substitutions.
• The contractor must have adequate air dryers, vacuums, inventory, and resources to respond quickly and efficiently.
• All linens, tents, tent sides, and chairs must be clean, colorful, bright, and in excellent condition.
• The contractor must provide adequate staffing to operate bounce houses/inflatables and ensure their safe operation.
• The contractor must comply with all applicable laws, rules, and regulations, including those related to ethics, employment, and insurance.
