The City of Columbus Police Division is seeking a vendor to supply a Canon iF C5140 multifunction printer (MFD) and a three‑year consumables‑plus‑maintenance service agreement priced on a per‑copy basis. The contract is a sealed RFQ with a single‑source requirement (direct replacement only) and must be fulfilled by a vendor in good standing with the State of Ohio.
• Primary product: Canon iF C5140 MFD – 40 ppm, dual‑sided, high‑capacity trays, advanced security features, network printing, scanning, copying, fax.
• Required services: 36‑month maintenance, parts, supplies (excluding paper), automatic meter reading, customer portal, emergency response, loaner equipment, drum replacement, equipment modernization.
• Pricing model: Cost per copy (B&W and color) with no minimum/maximum, billed monthly in arrears. Estimated volume ≈ 5,000 B&W and ≈ 4,000 color copies per month per machine.
• Response time guarantee: Confirmation call within 30 min, technician on‑site within 4 business hours.
• Delivery, installation, start‑up supplies, and training included.
