Mailroom Equipment Supplies & Maintenance

This statewide mandatory contract provides Virginia’s state agencies, colleges, universities, and other public bodies with a complete suite of mailroom solutions—including mailing machines, postage meters, scales, letter openers, folders, inserters, envelope addressing systems, related furniture, consumable supplies, and maintenance services—as well as software licenses and consulting. All purchases must be made through the eVA system with required VCE (equipment) and VITA (software) approvals, and pricing is managed at the line‑item level within the eVA catalog. The contract runs for two years with no renewal options and is a sole‑source award to Pitney Bowes, giving the vendor a guaranteed market across the Commonwealth. • Covers hardware (mailing machines, postage meters, scales, inserters, etc.), consumables, maintenance, and software/consulting. • Mandatory use for any Virginia public entity purchasing mailroom equipment; orders placed via eVA with pre‑approval requirements. • Contract term: 15 May 2025 – 14 May 2027; net‑30 payment terms; no minimum order; price details stored in eVA.
