Event Staffing Services

East Carolina University is seeking bids for event staffing services, including crowd management, parking, traffic enforcement, ticket collection, ushering, and unarmed security. The contract will have an initial term of 2 years with the option to renew for up to 8 additional years. The university is looking for a vendor to provide event staffing services for various events, including athletic events, concerts, and other high-traffic university-sponsored events. The vendor will be required to provide all labor and supervision necessary to staff and manage the scheduled events. Some key responsibilities of the contractor's personnel include: • Ticket scanning and verification of proper guest ticketing • Verification of valid credentials of working staff and controlling access to specific areas of venues • Denying guests who may be intoxicated or impaired • Enforcing the University and Department’s “clear bag policy” • Conducting non-invasive searches of guests’ bags and personal items for weapons and other prohibited items • Distribution and application of wristbands, when applicable • Management of queues and monitoring crowd safety issues • Ushering, directing patrons to seats and general wayfinding around university venues • Implementation of emergency procedures where necessary, including evacuation assistance and execution of university-designed Emergency Action Plans (EAPs) • Identification and ejection of people violating venue policies • Implementation and coordination of parking procedures, depending on the event • Verification of adequate parking passes, corresponding with the appropriate lots • Providing event-related escorting and/or security, as needed • Liaising with other security personnel working the event • Provision of written post-event reports, detailing any incidents, ejections, customer service issues, and/or violation of venue policies
