Facilities Maintenance Computerized Maintenance Management System (CMMS)

The Prince George’s County Public Schools (PGCPS) is seeking a single, fully‑integrated Computerized Maintenance Management System (CMMS) to support approximately 200 facilities, 350 maintenance staff, and 900 named users. The contract covers the core CMMS platform, annual licensing, help‑desk support, and data‑transfer services for the contract term, with optional future phases for community‑use scheduling and inventory management. Implementation, configuration, data migration, training, and go‑live support are excluded and will be provided by a separate consultant. The solution must integrate with existing PGCPS systems (Kahua PMIS, Oracle EBS, future ERP), provide role‑based access, SSO, open APIs, and meet strict security, privacy, and MBE participation requirements. • Provide a SaaS CMMS platform (no multiple products) supporting work‑order, asset, mobile, and reporting functions. • License 900 named users (price‑protected) with incremental pricing for additional or request‑only users; include full‑stack help‑desk and maintenance for the contract term. • Ensure integration capability (RESTful APIs/OAuth 2.0), data‑ownership compliance, cyber‑liability insurance, and adherence to Maryland public‑sector security standards. • Optional Phase 2 (community/facility scheduling) and Phase 3 (stockroom & inventory) can be priced separately; implementation services are NOT to be priced in the RFP response.
