Description
The Texas Education Agency (TEA), on behalf of the Texas Council for Developmental Disabilities (TCDD), is soliciting qualified audio‑visual service providers to deliver full‑service hybrid meeting support for quarterly Council and Committee meetings in FY 2027‑2028. The contractor must supply, install, test, operate, record, and dismantle AV equipment, integrate with TCDD’s Zoom Webinar platform, provide on‑site technicians, and handle travel/lodging logistics for meetings held in Houston, Austin, and San Antonio. The contract will run for two fiscal years, with a total budget of approximately $60,000 and monthly invoicing tied to deliverable acceptance.
• Provide all AV hardware (microphones, mixers, speakers, cameras, projectors, cabling, etc.)
• Set up, test, and operate equipment for each scheduled meeting (multiple rooms, up to 40 participants)
• Integrate clean audio/video feeds with Zoom Webinar for remote participants
• Record each meeting and deliver recordings to TCDD
• Supply qualified on‑site technicians for the entire meeting duration
• Perform teardown and equipment removal after each session
• Manage travel and lodging costs for staff traveling to Houston and San Antonio (either included or itemized)
• Comply with TEA’s invoicing, reporting, and contract monitoring requirements.
